About the Role

This role is integral to our daily operations, and will see you working closely with the Manager, and the team of Support Workers, at our CQC Registered Residential Home in central Tunbridge Wells. Our homes provide a safe and nurturing environment to people who have, or are recovering from, mental health issues.

This role has a key part to play in that journey, by ensuring all associated administration is completed correctly, on time and with a high degree of confidentiality.

Key Responsibilities:

  • Assisting in the preparation of monthly payroll spreadsheets.
  • Recording of staff sickness and holiday absence.
  • Arranging staff training courses.
  • Typing of letters, emails, reports etc.
  • Answering the telephone and greeting visitors.
  • Stationery ordering.
  • Taking and distributing meeting minutes.
  • Managing incoming emails and post.
  • Assisting with diary management.
  • Updating, maintaining and archiving hard and soft copy files.
  • Assisting with creation of spreadsheets, mail shots, surveys etc.
  • Troubleshooting IT issues.
  • Updating noticeboards.
  • Updating in-house policies and associated documents.
  • Assisting with organisation of house activities and events.

 Who Do We Need

This role is part time, working 22.5 hours per week.

These hours can be spread over three, four or five days (Monday to Friday), but must start at 8.45am on each day, so that the morning handover meeting is attended.

Although you will not be working directly with our residents, you will have plenty of opportunities for interaction with them, so a positive attitude towards people who are experiencing mental health difficulties, and a willingness to work alongside them in a residential setting is essential.

You must have proven administrative experience within an office environment and be capable of working as part of a team, with minimal supervision.

Essential Requirements:

  • Excellent English, verbal and written communication skills.
  • Excellent working knowledge of MS Windows (Word/ Excel/PowerPoint/Outlook) including the ability to create forms/spreadsheets/mail-shots/surveys etc.
  • Ability to recognise and troubleshoot routine IT problems.
  • Confident with general office skills, answering the telephone and liaising with colleagues, residents and visitors.
  • Able to prioritise, plan work and meet deadlines.
  • Able to maintain confidentiality with an excellent level of attention to detail.
  • Calm, confident, patient and flexible, good interpersonal skills, and able to work as part of a team, alone and unsupervised.
